Responsibilities for Participants in After-School Enrichment Activities

 

Churchill Road ES PTA sponsors a variety of after-school activities for its students. In order to ensure child safety and to ensure each participant understands his/her rights and responsibilities, the following set of rules and responsibilities have been established: 


After-School Instructor/Parent Volunteer Responsibilities:

  • For many after-school activities, a parent volunteer performs the administrative tasks for the class. If there is no volunteer, the instructor performs these tasks him/herself.
  • A roster of the enrolled students (to include parent contact phone #s) will be created by the class instructor/parent volunteer prior to start date of the class and be distributed to the school office and After-School PTA Coordinator.
  • If there are any changes in class dates or times, the parents/guardians of the enrolled students will receive prompt notification from the instructor or parent volunteer.
  • Upon acceptance in the class, the student will receive a written confirmation of acceptance, including the dates and times of the classes along with instructor contact information to report a child's absence from the class
  • The instructor will check student attendance at the start of each class. The instructor will cross reference the enrollment list with the list of absent children. (The after-school class instructor will obtain a list of absent children in the office at the end of the day.)
  • On the first day of instruction, children that go to the class instruction site that are not on the official class roster will be sent to the school's office. The class parent volunteer or after school PTA coordinator will contact the child's parents.



After-School PTA Coordinator Responsibilities:

  • In the event of the absence of the instructor due to a last minute emergency, the class parent volunteer or After-School PTA Coordinator will supervise the children until the children are picked up.
  • The After-School PTA Coordinator will back up the class parent volunteers on the first day of each after-school activity.



School Responsibilities:

  • The school will distribute the after-school application forms, these Rights and Responsibilities, including the class oversubscription policy.
  • The school will work with the PTA After-School Coordinator to arrange class space in the building.
  • The school will publish the after-school activity dates and times in the Churchill Chatter when available.
  • The school will announce the after-school activities for that school day.
  • In the event that, for whatever reason, no class supervision can be provided by the instructor or the PTA, the school will be responsible for supervising the after-school activity until the children are picked up.



Parent/Child Responsibilities:

  • The parent recognizes that PTA volunteers organize these extra curricular activities to enhance and enrich our children's educational experience. These classes can only occur with the cooperation of the parent and child, and in partnership with the PTA. The parent and child recognize that these activities are a privilege and a benefit provided by the Churchill Road Elementary School PTA.
  • The child is expected to behave in a manner that respects his/her instructor and classmates, as well as school property. If the instructor identifies a problem in this area, the instructor will contact the parents and notify them of the problem. If the behavior is not corrected, the instructor will notify the parents and the student will not be allowed to continue to attend the class. No refund will be given.
  • If the child will be absent from the activity, the parent shall notify the instructor.
  • The parent is responsible for ensuring that the child will be picked up promptly in the front lobby area of the school at the end of class.
  • If a child is picked up late consistently from class, the parent of the child will be given a warning. The child may not be allowed to continue the class and/or not be allowed to take any more classes in future sessions. No refund will be given.

Oversubscription Policy for After-School Activities

If, on the deadline for class registration, the number of children seeking enrollment exceeds the number of spaces available, the children will be chosen in a random, blind lottery. Those who are NOT selected shall be placed on a waiting list for the second session of the class, if the class is offered in the same school year. At the time of registration for the second session, the parent shall indicate on the registration form that the child is still interested and he/she will be automatically enrolled in the second session.
